Meeting Cost Calculator
Estimate a meeting’s people cost or run a live cost counter while it happens.
How to use it
- Enter the number of people and their average hourly cost in the selected currency.
- Set the planned duration and calculate an estimate.
- For an ongoing meeting, start the timer. Pause to read the live amount or prepare a sharing preview of the derived cost; resume or reset when needed. Changing assumptions resets the timer.
Examples
A half-hour meeting for five people
- Input
- 5 attendees × €40 per person/hour × 30 minutes
- Result
- Estimated people cost: €100. The live counter starts from zero when you start it.
The cost-of-meeting formula
Estimated cost = attendees × average hourly cost × duration in minutes ÷ 60. The live counter uses the same formula with elapsed time instead of planned duration.
For people with different rates, add their hourly costs and divide by the number of attendees. You can use gross wages alone or a broader employer cost, but the choice should be consistent.
Using the live timer accurately
The timer measures elapsed time rather than counting timer callbacks, so background tab throttling does not intentionally subtract elapsed minutes. Pausing excludes time until you resume; changing an input resets the running assumptions.
Every attendee is assumed to remain for the full duration. Preparation, travel, opportunity cost and changing attendance are not included. The counter stops at 24 hours and is not saved after leaving the page.
Questions, answered.
Should I enter salary or employer cost?
Either can be used as long as you interpret the result consistently. Gross salary and fully loaded employer cost measure different things.
Does the timer continue while paused?
No. Paused time is excluded. Backgrounding a running tab does not itself pause the elapsed-time calculation.
Are company rates recorded?
No. Rates, headcount and results stay in browser memory and are not sent to analytics.
